Becoming an Exhibitor

Midwest GameFest is a great opportunity to showcase your wares. We've got 450-500 tabletop hobby gamers, cosplayers, and "nerd culture" enthusiasts looking for the newest games, accessories, and materials. Located in the Greater Kansas City Metropolitan Area, we pull attendees from Missouri, Kansas, Illinois, Iowa, Nebraska, Arkansas, and from all over the country.

Booths are purchasable online once your online exhibitor application is approved. Each booth comes with two exhibitor badges, which allows one member of a two-person crew to play games while the other handles the booth. All exhibitors receive mention in our convention program, website, emails, and social channels. Power is available for small electronics, but you will want to bring a grounded extension cord and power strip. Complimentary low-bandwidth wi-fi is provided, and pipe and drape is available for an additional $20 fee per 10' length of booth. Additional booths and passes may be purchased.

Getting Started

Fill out an Exhibitor Application and let us know your business name, contact info, what you are selling, etc. All applications are subject to approval. We'll get back to you with additional instructions. Note: Submission of an application means that you agree to our terms and conditions.

Important: Exhibitor applications open May 4, 2018 and end October 12, 2018, or until booth space is filled.

Booths – $150

A 10'x10' space, this includes two 6'x2' draped exhibitor tables in an L shape (e.g. 8' wide), two chairs, two 4-day exhibitor badges and promotion in our materials.

Pipe and Drape — $20 Additional per 10' length

"Pipe and drape" are available for an extra fee of $20 per 10' length of booth. This refers to an 8' tall by 10' long pipe scaffolding with curtain behind your table. Banners or signs can be hung from or tied to the structure. Note: Pipe and drape is only available for wall booths (booths along a wall).

Exhibitor Credit for Prize Donations

Part of your payment can be accepted in the form of tabletop gaming-related merchandise donated as prizes for our benefit raffle. We value prize donations at 50% MSRP (subject to acceptance/approval); we can accept up to 50% of your total bill this way. Merchandise donated in this manner must be delivered upon arrival unless other arrangements are made. Contact our This email address is being protected from spambots. Claiming Your Discount

Once your application is approved, you will receive an email with a link to purchase your booth and any booth options. You specify your discount code during the booth selection process. So, if you had a bundle of current books whose MSRP was $200, we would count that as a $100 credit toward your booth purchase, but the discount caps at $75. Use the discount code that most closely matches.

Important: You will need a 2000x2000 pixel logo. If you don't have one available, you can download a placeholder.

Move-In and Move-Out

We'll be providing more details as the event draws near. Earliest load-in times will be the morning of Thursday, November 1st.
